Question : How can FOC invoice be generated in Finsys ?
Answer – The FOC invoice is an essential document needed for recording the entry of a Sample Order and alsp for filing GST and e-invoices against the same.
How the sample order can be entered in Finsys – Follow the below mentioned steps – (All of this is done on your Main Finsys)
- First create a Sale Invoice/ Book S.O
- Path for this -Sales & Marketing ▶️ Order and Schedule ▶️ Order Maker ▶️ Click on ‘New’
- A pop-up window appears that contains the several types of documents or sale orders. From that list, select ‘Sample Order’ with the code (4S).
- Fill in the necessary details namely – Customer Name, Relevant Item, Quantity, Tentative Date for delivery.
- Now click on ‘Save’
- When an alerting message window pops up, select ‘Yes’
- Now after saving this sale order entry, a S.O invoice will be generated.
- This invoice is needed for tracking the S.O or how efficiently can your company manufacture and deliver the new product. For example, the quantity required by the customer was 900 but you sent 830. The other parts of the document like the quantity, items etc. are needed to be approved.
Note – If ‘Sample Order’ option does not appear on your list, go to Control Panel ▶️ FOC, Sale Value ▶️ Select ‘Yes’. For further help, contact our team and they will assist you.
Also, link an account to the Samp. Order option. Since the amount in this invoice is non-recoverable, you can charge the GST and the sale value from the linked account. This is done to prevent the erronous creation of a debtor.
Your production team will now generate this invoice –
Path – Sales and Marketing ▶️ Invoice
Now this invoice can be generated in 2 methods –
Method 1 – Full invoice value where discount and tax rates are applied but not charged.
This is done to record the transaction for providing as evidence to the customer that the sample order has been sent by you.
The grand total value of your invoice will be zero.

Except it will show ‘sample order’
The sample order invoice will be generated where the grand total amount will be ‘zero’

After generating the invoice, the accounting entry will also be auto-populated in your Finsys ERp system.
Method 2 – Full invoice value shown . tax- applicable/to be paid, Grand Total – GST amount only.
This is a LEGALLY ACCEPTABLE method and it can also help the customer in charging ITC.
Steps, similar as in ‘Method 1’
The grand total value will only show the GST amount.
