Purchase Requisition — Nothing Gets Purchased Without a Reason
Finsys implements a digital Purchase Requisition (PR) system — also called Purchase Indent. Before any PO is raised, the department must create a PR online. The system automatically shows last purchase price, last purchase date, last issue date, current stock, and minimum-maximum levels. This alone transforms your buying discipline.

Every PR must be approved online by the department head, plant head, or director — before a PO can be made. This approval happens on phone or laptop. No more verbal approvals, no more paper chits, no more “I told him verbally.” Everything is logged, dated, and trackable.
Purchase Order System — Complete, Controlled, and Multi-Type
The PO module covers all types: Fixed Quantity PO, Job Work PO, Service PO, Capital Goods PO, and Import PO. Every PO is approved online. No vendor receives a PO until the right authority has approved it digitally. There is also an optional PO-checking step by the Accounts/Costing department before management approval — reducing pressure on senior leadership while keeping controls tight.

Tolerance Limits in Purchase Orders — Protection Against Over-Supply
Every PO in Finsys can have a tolerance limit — the maximum percentage by which a vendor is allowed to supply more than the ordered quantity. If a vendor tries to supply 20% extra, the system blocks the gate entry sticker. This protects you from excess inventory, excess payment pressure, and expired or near-expiry stock sitting in your warehouse.
Material Gate Entry — Your First Line of Control
Gate entry is implemented on the main gate, operated by security staff, on computer or mobile app. Material is allowed in only against a valid, approved PO. The system takes a photo of the vendor bill, the material, and the truck. A unique non-peelable barcode sticker replaces the traditional rubber stamp — the date and time are fixed, and the sticker is not printed if there is no valid PO. This is your first physical control point.

MRR — Material Receipt Report — With Full GST Compliance
Once material clears the gate, the MRR (Material Receipt Report) is created — linked to the gate entry and PO. The system flags whether the GST transporter copy of the invoice has been received — a critical compliance check under GST. The MRR prints an identification tag, places the material at the right location in stores, and knocks off both the gate entry and the PO simultaneously.
Reel-Lot Wise Stock Reports — Industry-Specific Intelligence
Finsys generates deckle-wise, BF/micron-wise, and supplier-wise stock reports. You can see which reel is in which bin location, its age (30-60-90-180 day aging), and its remaining weight. Material Issue Using Android Phone
Material issue from stores to production is done by scanning the QR barcode on the job card, then scanning the reel barcode, and entering the quantity on the phone screen. Press Save — done. The issue is recorded in real time. This works on standard Android smartphones — no expensive proprietary hardware required.

Physical Verification — Without Stopping Production
Using the same QR barcoded stickers, physical verification of stores can be done on a daily or weekly basis — bay by bay, bin by bin — without stopping production. The storekeeper scans each reel, presses OK, and the system generates a pending/missing report automatically. Stock accuracy improves dramatically, and the time taken reduces from days to hours.
Geographical Bin Location — Where Exactly Is My Reel?
The store floor is marked in numbered squares (A1, A2, A3… B1, B2…). The forklift operator scans the reel after placing it and tells the ERP which square it is in. The system shows reel location on screen, and location-shifting is also tracked. “I forgot where I kept it” is no longer a valid answer.

Return of Raw Material — With New Bit-Reel Sticker Generation
When a partial reel (bit-reel) comes back from production, the storekeeper scans the job card and the reel barcode, enters the returned quantity, and presses Save. A new bit-reel sticker is automatically generated — printable via a belt-based Bluetooth printer or a normal laser printer. The inventory record is updated in real time.

- ERP users must have a separate leased line; should not be used for phone calls, CCTV, video meetings, TV, mobile phones, or general WiFi.
Third Party Tools and Integration

- Scanned documents can be attached with MRR, invoices, weighment slips, test certificates, and packing notes.
- Automatic file name creation for uploaded vouchers.
Compliance and MSME Reports
- ERP includes MSME compliance reports and menu.
- GST and TDS compliance is supported through integrated modules and reporting.
- Supporting data for GST/VAT returns annexures in Excel.
Customer Portal and Dealer Management ( Add-on extra modules)
- Customer portal allows entry of new sales orders, schedules, monitoring of order vs shipment, pending orders, pending payments, and complaints.

Change Management and Adoption
- Adoption, assimilation, and change management are expected from the customer side.

Exclusions for Advanced Modules
- Advanced modules such as MES, Industry 4.0, direct machine interfacing, SCADA, advanced sales and purchase modules, payroll, HR, and others are excluded from the scope of work.
- These modules may be implemented later at extra cost.
